Answering Compliance Requests

Compliance requests can be found in the osapiens Supplier Portal under the Information requests tab. These requests are sent to you by one of your customers to obtain compliance data on specific products – for example, packaging composition or restricted substance statements.

To answer these requests, follow these steps:

Step 1: Locate the compliance request

Make sure you are logged in to the osapiens Supplier Portal and select the menu entry Requests - the Information requests tab is activated automatically.

Here, each open compliance request is displayed as a tile labeled Compliance request for [regulation name].

In each case, it can be seen when the request was sent (Date and Time  at the top right), who the requesting customer is ("requestscustomer name data on number of products ") as well as the number of products already reported and still open ( "'# of completed products reported.  # of open products remaining products").

Click Manage request for the request you want to answer.

Step 2 – Selection of products (subject of assessment)

A new page will open. Here, under Subject of assessment, you can see all the products for which your customer needs information.

Check the box in front of each product you want to enter data for, or use Select all products to select all at once.
Note: If you select multiple products at the same time, the same entered data will be stored for all selected products.

Important information

If you select multiple products at the same time, the same information you enter will be saved for all selected products. Therefore, please select only those products for which you can answer all the questions in the questionnaire in the same way. If the answers differ for individual products, please complete the questionnaire for those products separately by selecting only one product at a time.

Click Next to go to the questionnaire.

Step 3 – Answer the questionnaire (compliance assessment)

The actual questionnaire appears.

As you can see, the data collection form is often divided into numbered sections (for example, Packaging Composition, General Substance Restrictions, PFAS Restrictions). You can collapse and expand these by clicking on the arrow on the left.

When answering the questions, keep the following in mind:
Fields with an asterisk (*) are mandatory. If you try to proceed without answering it, the portal will display a note at the top indicating which question is still open and mark the corresponding field in red with the note This field is mandatory.

Many labels contain a small info symbol (i). If you click on it or touch it with the mouse, a short explanation will appear as to what is expected in this field.

For some questions, such as the listing of packaging components, you can enter several entries. Fill in the information for a component, then use the button to enter additional components as needed.

Important information

When filling out questionnaires, always be on the lookout for any available  buttons. You can use these buttons to enter as many additional entries as you need. Make sure to add and fill out all required entries—for example, all packaging components. Don’t limit yourself to the first entry that appears automatically.

Questions with predefined answer options (such as yes/no or a packaging level such as primary/secondary/tertiary) are presented as dropdown lists – you just need to select the appropriate option.

Via the button show selected products at the top of the form, you can see at any time for which products you are currently providing information.

Answer the questions of the compliance request.

Important information

Many questionnaires also require you to upload documents such as supporting evidence, declarations of conformity, or technical documentation, and then ask you to specify a validity period for the documents. Be sure to set this correctly. For example, if you specify only the next day here, you will soon be sent the questionnaire again and will have to fill it out once more.

Step 4 - Save or Submit

At the bottom of the questionnaire, you will find three options:

Save as draft saves your progress without submitting the request, so you can continue working on it later.  The request will then appear in your request list with the note Draft available.

Back takes you back to the product selection step.

Submit transmits your complete details to the customer. The submit button will only become active once all mandatory questions have been answered.

If multiple products have been requested, clicking Submit will refresh the request tile in the Information requests tab to show how many products have already been reported and how many are still pending. This allows you to keep track of your progress for requests with multiple products.
