Managing EUDR Land Plot Data with the osapiens Supplier Portal
Under the EUDR, it may be necessary to provide land plot data for the origins of the raw materials. Land plot data is managed in the osapiens Supplier Portal on the EUDR page.
In the following sections, we would like to explain the purpose and usage of land plot data in more detail for you.
When must geodata be made available?
Geodata is a key basis for the risk analysis under the EUDR and is a mandatory part of the Due Diligence Statement (DDS) that must be submitted to the EU.
Geodata must be included in the Due Diligence Statement when a DDS is issued for the first time for the products concerned – for example, in the case of an import or the first making available of the products on the EU market.
Geodata may also be provided for subsequent Due Diligence Statements by other market participants within the supply chain. However, there are opportunities for simplification – for example, by referring to previously submitted Due Diligence Statements.
Who has to provide geodata?
Non-EU suppliers must provide geospatial data so that their customers can carry out the risk assessment required by the EUDR and provide the necessary information in the Due Diligence Statement for imports into the EU.
For EU suppliers, the provision of geodata may vary. EU suppliers should clarify together with their customers whether geodata is absolutely necessary or whether the transmission of DDS reference numbers and verification codes is sufficient. This can depend on the position of both market participants in the supply chain as well as on the risk analysis criteria applied.
What happens to the geodata?
Geodata is used by your customers to carry out a risk analysis. This analysis includes checking for deforestation as well as compliance with legality requirements. In addition, geodata can be part of the Due Diligence Statement (DDS) for transmission to the EU Information System.
How can geodata be imported into the Supplier Portal?
The Supplier Portal offers various options for importing geodata. Please read the step-by-step instructions in the section: Supplier Portal - EUDR.
What types of land plot data does the osapiens Supplier Portal support?
You can only upload land plots that are point coordinates (single points) or polygons in the osapiens Supplier Portal. Other variants (for example, lines that do not form a polygon) are not compatible with the EUDR law and are therefore not supported.
Point coordinate: Consists of a single latitude and longitude value.
Polygon: Several connected points form an enclosed area.
When can geodata be specified as single points or polygons?
The Supplier Portal supports the creation of geodata both as polygons and as single points (point coordinates).
In order to ensure the most accurate examination of the origins of the raw materials, it is always recommended to create land plots as polygons.
The EUDR allows land plots with a size of up to 4 hectares to be submitted as single points. Please note that for single points, the analysis may include an area with a radius of up to 112 m around the point. Single points should therefore always be indicated as centrally as possible and should not be located on property boundaries.
If you have any questions, please clarify with your customer whether polygons or single points can be used.
Is it only necessary to provide geodata, or is additional information required?
Geodata serves as the basis for the risk assessment. In some cases, your customer may only request geodata as part of a preliminary check. In most cases, however, it will be necessary to link this data to products or purchase orders in order to refine the information gathering and verification process. Information about harvest periods must also be taken into account.
My upload file does not contain any country data for the land plots. Is that a problem?
If your upload file did not contain any country data or country codes, this is not a problem. The osapiens Supplier Portal then locates the land plots based on the geodata and automatically adds the corresponding country during the import process.
How is the assignment determined, which geodata is relevant for which products or purchase orders?
The assignment of geodata to products or purchase orders is done via EUDR batches.
The osapiens Supplier Portal supports you in creating these batches. First, the geodata must be created before the assignment can take place. Further information can be found in the section: Supplier Portal - Products.
