Quick Guide – Using the osapiens Supplier Portal
Dear Suppliers,
We warmly invite you to use the osapiens Supplier Portal. Our Supplier Portal is a user-friendly online platform that enables you to manage data and share information with your customers in a targeted way, helping you meet legal supply chain due diligence obligations. The portal is available to you free of charge.
What is expected of you as a supplier?
The Supplier Portal is used for compliance with the European Deforestation Regulation (EUDR). The EUDR requires companies to prove that their products originate from deforestation-free supply chains. To fulfill this requirement, your customers need specific information from you.
The Supplier Portal enables efficient and automated data exchange:
For non-EU suppliers: providing land plot data to comply with EUDR due diligence obligations.
For EU suppliers: providing EUDR due diligence reference numbers for individual orders and deliveries.
Completing questionnaires about your company and your products.
Good to know: a multi-step process
Access to the portal happens in several steps. You’ll receive three emails, one after another, each with its own link (registration, confirmation, initial password). Please complete the steps in the order the emails arrive, and check your spam folder if anything seems delayed.
How to get started
Receive your registration link: You will receive a registration link from your customer. Important: This link is personal! It is intended for you alone and should not be forwarded to colleagues.
Invite additional people (optional): If you‘d like colleagues to also work in the portal, invite them directly from the portal – without forwarding your own link. See „Invite additional users“.
Main Features in the Portal
Requests: Respond to information and order requests from your business partners.
Questionnaires: Complete questionnaires about your company and products. Note: Right after registration, the questionnaire may not be visible yet.
EUDR land plots: Create and manage geodata for your land plots (only for non-EU suppliers).
EUDR products: Create batches with EUDR-relevant data and assign them to products.
Organisation profile: Maintain your company’s master data as well as user management.
Invite additional users
In the portal, open the round icon in the top right, then click on Profile. Make sure that you have enabled „Allow data sharing“.
Then go back to Organisation profile > User management. Click “Invite User”, enter your colleague’s email address, and select the desired user permissions.
The invited person will receive their own personal registration link by email and go through the same steps.
Where do you find the login?
After your first registration, you can reach the portal going forward at prod.osapiens.cloud or via the link in your confirmation email.
