Managing Batches with 10.000+ Land Plots

Prev Next

What is the land plot limit per batch?

A single EUDR assessment can reference a maximum of 10,000 land plots in total.

Note

An assessment is used on the client side in osapiens HUB to evaluate whether products linked to specific land plots comply with the requirements of the EU Deforestation Regulation (EUDR).

In the Supplier Portal, the focus is on batches. These batches contain the land plots and production information that your client later uses for an assessment in osapiens HUB.

Although a single line item may include up to 10,000 land plots, the combined number across all products in the batch cannot exceed this limit.

Important Note

The EU TRACES system sets strict limits on the number and size of data objects that can be submitted in a Due Diligence Statement (DDS).

These limits are defined by the EU system itself and must be followed to successfully submit DDS information. osapiens HUB for EUDR is designed to ensure that submissions comply with these TRACES requirements.

What happens if your batch exceeds 10,000 land plots?

The system will not allow submission.

You must split your batches so that each part stays below the 10,000‑plot limit.

What should you do if your land plot dataset exceeds 10,000 land plots?

Start by checking for duplicates

Before splitting your dataset, conduct a thorough duplicate check.

It is common that large plot collections contain repeated entries.

Removing them may reduce the total count below the 10,000 plot limit, allowing a single clean submission.

If still above 10,000 plots: split into different batches

If the dataset remains larger than 10,000 unique plots, you must divide it into multiple batches. Each batch must contain fewer than 10,000 plots.

Example:

23,500 plots → split into 3 batches (e.g., 9,000 + 9,000 + 5,500)

Use the switch “Partial Delivery” when answering the request

osapiens provides a Partial Delivery switch for responding to incoming purchase order requests.

Activate this switch when submitting each intermediate batch.

This tells the system (and your customer) that more land plot information will follow.

Important

For the final batch, you must deactivate the partial delivery switch.

This signals that the submission is complete and allows the request to be formally closed.

Detail

1

Remove duplicate land plots

This process is handled outside the Supplier Portal. We recommend uploading the plots directly and ensuring that no duplicate plots are created within the Supplier Portal.

How to upload plots is explained here.

2

Split into batches of <10,000 plots

This can be done on the page Products. Select the relevant product and ensure that separate batches are created for each defined plot. Alternatively, the split plots can be uploaded directly during the batch creation process.

How to create batches is explained here.

3

For each batch except the last: Activate “Partially Delivery”

  1. Open the Purchase Order Request.

  2. Select Line Items for the Current Partial Delivery.

    1. In the PO overview, locate the line items corresponding to the batch you want to deliver now.

    2. Select these line items.

  3. Activate the switch Partial delivery for this batch.

    Note

Partial delivery must be enabled for every batch except the last one. The final batch will be delivered as a complete delivery, so the switch should remain off for the last batch.

  4. From the available split batches, choose the batch with fewer than 10,000 land plots that should be delivered now.

  5. Confirm the selection.

  6. Repeat the Process for Each Split Batch for the same PO:

    1. Return to Manage request.

    2. Select the line items for the next split batch.

    3. Ensure Partial delivery remains enabled.

    4. Select the next batch to deliver.

4

For the final batch: Deactivate “Partially Delivery”

For the last batch related to the PO, disable the partial delivery switch and select the last batch to be sent.
