As a supplier, you can add your batch data to product master data on the PRODUCTS page. The corresponding products will only be added to this page after your business partner has sent you an information request for products or a purchase order request for product batches within osapiens HUB for EUDR.
Uploading new batch data via Excel
To upload new batch data to the Supplier Portal using an Excel file, proceed as follows:
Make sure that you are on the PRODUCTS page. Click on the product in the table to which you want to add batch data. |
On the product detail page, you will first see the PRODUCT MASTER DATA (which you cannot change). | |
Click on the BATCHES tab at the top to switch there. |
If no batch data has been stored for your product yet, the BATCHES tab will look like the screenshot below. Click on Import from template to upload the batch data via Excel. |
In step 01 Upload file, first click on DOWNLOAD TEMPLATE. | |
Fill out the Excel template correctly with the batch data of your product according to the specifications. To do this, you must enter a Batch ID in the template for each batch and optionally a future Validity Date (= how long the data is valid for this batch). In addition, at least one Plot ID that matches a land plot that you have already created in your Supplier Portal. Plus optional Start and End dates of the Harvest period(s), which should logically be in the past. Then click on BROWSE FOR A FILE in the Supplier Portal and select the file on your computer or drag&drop the file onto the Upload file area. |
In step 02 Manage batches import, you can see all valid and invalid batches from your file. | |
Under VALID BATCHES you can find all batches that can be imported. Activate the individual checkboxes next to all batches that you want to import or activate the checkbox directly under Select batches for import to select all valid batches at once. | |
You can finalise the Excel import process with the IMPORT X BATCHES button at the bottom right. | |
Click on VIEW next to a batch to open the respective detail page. |
On the detail page of a batch, you can change the unique Batch ID or select a different Validity date for the batch if required. | |
You can also change the Harvest date start and Harvest date end and, if necessary, add additional harvest dates using the + ADD DATE button. If necessary, click on the trashcan button to delete a harvest period. | |
You can use the + LINK PLOT button to add additional land plots with corresponding harvest data to your batch. | |
In the LINKED PRODUCTS table at the bottom, you can add or remove links from the batch to products in your Supplier Portal. Activate or deactivate the green checkboxes next to the respective products accordingly. | |
If you have made any changes on the detail page, click on SAVE at the upper right to save the changes. Or click on DISCARD to revert your changes. | |
Click on the back arrow at the upper left to go back to the previous page. There, click on IMPORT X BATCHES at the bottom right to complete the Excel import process. |
Once you have completed the Excel import process, you will see a corresponding page with the success message Import completed and the number of batches added. | |
Click on OK. |
You are now back on the detail page of the product on the BATCHES tab and can see the batches you have just added via the Excel upload in the table. | |
If you want to add additional batches to this product via Excel upload, move your mouse pointer over the green plus at the bottom right and click on Import batches. |
Adding new batch data manually
To create new batch data manually in the Supplier Portal, proceed as follows:
Make sure you are on the PRODUCTS page. Click on the product in the table to which you want to add batch data. |
On the product detail page, you will first see the PRODUCT DATA (which you cannot change). | |
Click on the BATCHES tab to switch there. |
If no batch data has been stored for your product yet, the BATCHES tab will look like the screenshot below. To create the batch data manually, click on Add product batch. |
In step 01 Batch information, define the unique ID of your batch in the Batch number field. | |
Then click on NEXT at the bottom right. |
Select at least one of your land plots in step 02 Land plot information by activating the checkbox next to it. | |
Then (optionally) click on the + ADD DATE button to add the start and end dates of the harvest time(s). | |
Either enter the dates manually in the fields or select them from the calendar. | |
Then click on NEXT at the bottom right. |
If required, link additional products to your batch in step 03 Information on batch product(s). | |
The checkbox for the product for which you have started the process is already activated, cannot be deactivated and is therefore greyed out. | |
If required, you can activate the checkboxes for other products to link them to your batch. Or activate the checkbox above the table next to Customer to select all products at once. | |
Then click on NEXT at the bottom right. |
In step 04 Validity, optionally enter a future validity date (= how long the data is valid for this batch) for your batch manually in the field or select it via the calendar. | |
Then click on SAVE at the bottom right. |
Once you have completed the process, you will see a corresponding page with the success message Batch created. | |
Here, click on CLOSE at the bottom right. |
You are now back on the detail page of the product on the BATCHES tab and can see the batches that you have just added manually in the table. | |
If you want to add additional batches to this product manually, move the mouse pointer over the green plus at the bottom right and click on Create new batch. |
Editing existing batch data
To edit existing batch data in the Supplier Portal, proceed as follows:
Make sure that you are on the page PRODUCTS. Click on the product in the table for which you want to edit the batch data. |
On the product detail page, you will first see the PRODUCT DATA (which you cannot change). | |
Click on the BATCHES tab to switch there. |
Click on the batch that you want to edit in the table. |
On the batch detail page, you can change the unique Batch ID or select a different Validity Date for the batch if required. | |
If required, you can also select a different Plot ID, change the Harvest date start and Harvest date end and add additional harvest dates using the + ADD DATE button. If necessary, click on the trashcan button to delete a harvest period. | |
With the + LINK PLOT button, you can add additional land plots with corresponding harvest data to your batch. |
In the Linked products table at the bottom of this page, you can add or remove links from the batch to products in your Supplier Portal. Activate or deactivate the green checkboxes accordingly. | |
If you have made any changes on the detail page, click on SAVE at the upper right to save the changes. Or click on DISCARD to revert your changes. | |
Then click on the back arrow at the upper left to return to the product detail page. |
